Privacy policy

The Privacy Policy shall apply to the processing of personal data carried out within the framework of the “GREENSTAGE” project (hereinafter referred to as Greenstage) financed by the Creative Europe programme of the European Union, including being applicable to the users of the Sustainability Assessment for the Performing Arts Tool (SAPA) and visitors to the site www.greenstage.eu. The Privacy Policy aims to provide information on how Greenstage processes personal data. 

The Privacy Policy does not regulate the personal data processing of Greenstage employees and partners. Such information is available in separate privacy policies available to employees and job applicants in the recruitment process.

Greenstage is aware of the importance of personal data protection in the modern era of information and, therefore, takes care of adequate data protection and works to comply with the laws and regulations on data protection in day-to-day operations. Greenstage is bound by Regulation (EU) 2016/679 of the European Parliament and the Council (27 April 2016) on the protection of individuals with regard to the processing of personal data and free movement of such data, which repeals Directive 95/46/EC (General Data Protection Regulation).

 

1.   Who is responsible for your personal data?

1.2.   Your data can also be accessed by other Greenstage project partners, especially those involved in its implementation. Each of these individuals within Greenstage is bound by this Privacy Policy and personal data protection requirements.

2.   What personal data do we collect?

2.1.  By accessing the www.greenstage.eu site or using Greenstage solutions (such as Sustainability Assessment for the Performing Arts Tool (SAPA)), we can collect your personal data. The mentioned personal data shall be as follows:

2.1.1.        name;
2.1.2.        surname;
2.1.3.        position;
2.1.4.        email address;
2.1.5.        the name, address, telephone number or email address of the organisation you represent;
2.1.6.        other information related to your organisation that must be processed during the project or that you provide voluntarily (for example, a rating provided or your affiliation with the organisation).

 

3.   How do we obtain your personal data?

We obtain and collect personal data in one of the following ways:

3.1.         you or your organisation are active in the Greenstage project;
3.2.         you have contacted one of our partners on Greenstage communication channels, such as social networks or via email;
3.3.         you use the Greenstage website or enter information (for example, using the tool available on the website);
3.4.         you attend an event organised as part of the Greenstage project (for example, a photo is taken during the event, and we obtain a photo with you in it);
3.5.         The Greenstage partner has provided us with information about you as their representative;
3.6.         you have lodged a complaint with us or have contacted us;
3.7.         you have signed up with www.greenstage.eu to get updates from us to your email.

 

4.   Do you need to give us your personal data?

Laws and regulations require personal data to be processed lawfully and in good faith with respect to the person involved. Personal data may only be processed by Greenstage if:  

4.1.           the person gives consent. You can revoke the consent you have given to process your data at any time. In this case, Greenstage will stop processing your data for which you have given consent and will inform you of the possible consequences of revoking consent;
4.2.           processing is necessary for the performance of the contract to which the person concerned is a contracting party, or for the purpose of taking pre-contractual measures at the person’s request;
4.3.           processing is necessary to fulfil the legal obligation imposed on Greenstage;
4.4.           processing is necessary to protect the vital interests of the natural person;
4.5.           processing is necessary in order for Greenstage to perform a task carried out in the public interest or in the exercise of official powers vested in us;
4.6.           processing is necessary to pursue the legitimate interests of Greenstage as a controller or third party, unless the fundamental rights and freedoms of the data subject requiring the protection of personal data are given priority.

 

5.   For what purposes do we use your personal data?

Greenstage processes your personal data for the following purposes:

5.1.           to enable the use of Greenstage project solutions (e.g., Sustainability Assessment for the Performing Arts Tool (SAPA));
5.2.           to send updates about Greenstage events and news (personal data will be processed based on your consent);
5.3.           the operation, maintenance and development of the Greenstage website and the continuity of its business (personal data will be processed on the basis of Greenstage’s legitimate interests);
5.4.           to ensure the publicity of Greenstage (personal data will be processed on the basis of Greenstage’s legitimate interest in informing the general public about Greenstage’s activities).

 

6.   Other people’s data that you provide

If you provide us with personal data about someone else (such as one of your managers or subordinates or someone you partner with), you need to make sure you are authorised to disclose such personal data to us. We can collect, use and disclose such personal data as described in this Privacy Policy. We encourage you to make sure that the individuals concerned are aware of the points set out in this Privacy Policy.

If you provide us with other personal data, then only do so if there are legal grounds for providing such data, and if that person has authorised you to provide such data to us. We can fully trust that the individuals whose data you provide to us have authorised you to provide us with this data and have been informed and presented with this Privacy Policy.

 

7.   Security of personal data

We will use appropriate technical and organisational measures to preserve the privacy and security of your personal data. Personal data will be stored in information systems, in our contractors’ (service providers’) systems or on paper.

 

8.   Changes in personal data

We want to ensure the genuine and accurate processing of personal data. However, as with any cooperation, you can help us achieve this in our relations. So, every time you pass on your personal data to us, we encourage you to check the accuracy of your information with care. We trust that the information and data provided is accurate and true.

If your personal data has changed, for example, if you change your email address or if you find out that we have incorrect personal data, please let us know by writing to us at info@greenstage.eu.

We do not take responsibility for any damages caused by erroneous or incomplete personal data that you have provided to us.

 

9.   To whom can personal data be disclosed?

We have developed technical solutions to maintain the operation of Greenstage, so we can disclose your personal data to the categories of recipients below. Please note that we will only disclose your personal data when we have a legal basis for such disclosure. Our partners have a responsibility to ensure secure data storage and processing based on our mutual agreement.

We may disclose personal data to:

9.1.         marketing service providers, such as companies providing IT solutions for marketing purposes, providers of news, offers and information transmission services (Mailchimp, whose data centres may also be located outside the European Union, the United States, and details of the privacy protection provided, are available at: https://mailchimp.com/legal/privacy/);
9.2.         IT service providers with whom we have entered into a written agreement to ensure the development and maintenance of the Greenstage website;
9.3.         Greenstage project partners, if it is requested, to establish links between organisations or other objectives related to the nature of the project;
9.4.         the relevant national and/or local authorities in the cases and in accordance with the procedures set forth by law.

 

10. How long do we keep your personal data?

We store personal data for a certain period of time, setting a period for storing it:

10.1.      the data are processed/stored for as long as is necessary to achieve the objective;
10.2.      the time taken to ensure processing, based on your consent. If consent is revoked, data processing based on such consent is interrupted (for example, we will delete your email address from the distribution list if you do not agree to receive further email notifications);
10.3.      the time period specified in the laws and regulations;
10.4.      the period of time necessary to protect legitimate interests, including the period necessary for the examination and resolution of the complaint, as well as the period of time which may be necessary to demonstrate that certain data processing and measures have been taken.

 

11. Photo and video from events

The events organised by Greenstage can include photography and filming to reflect the project’s current developments and to inform the public and partners.

Photographs and videos obtained during these events are used by us for information and Greenstage publicity, so the relevant information can be kept on a permanent basis unless it is no longer usable for the purpose (e.g., the information is out of date). Photos and videos from Greenstage’s activities can be posted on the website www.greenstage.eu and social networks.

If you don’t want a photo with your image to be made public, you can ask us to delete your image by writing to the email info@greenstage.eu and specifying the image you want to be deleted. We will assess each case and try to accommodate your preferences as much as possible, but we are not obliged to delete images where you cannot be directly identified.

 

12. What are your rights?

Greenstage gives you the following rights:          

12.1.        request access to personal data (receive a copy of personal data and learn for what purposes the information we have about you is used);
12.2.        oppose the processing of your personal data;
12.3.        withdraw your consent (for example, refuse to receive news; oppose the use of cookies). Note that the revocation of consent does not affect the lawfulness of processing based on consent prior to revocation;
12.4.        correct your personal data (e.g., submit up-to-date information when it changes);
12.5.        ask to delete your personal data (“be forgotten”) or restrict its processing: we ensure the deletion of your personal data at your request (for example, if data processing is based on your consent and you revoke it). However, this condition will not apply if the personal data that you are asking to be deleted are processed by Greenstage on another legal basis, such as to ensure compliance with contractual obligations or regulatory requirements;
12.6.        data portability (possibility of receiving personal data and requesting that it be transferred to another controller where technically feasible).

In the event that you have any claims, objections or complaints about our processing of personal data, we hereby invite you to contact us by writing a message to info@greenstage.eu, and we will carefully assess the situation and address it as soon as possible. However, in any case, you have the right to lodge a complaint with the supervising authority.

The supervisory authority for Theater Oberhausen in matters of data protection law is the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia (Landesbeauftragte für Datenschutz).

13. Changes to the Privacy Policy

We update and change our Privacy Policy from time to time to reflect any changes. In the event of such changes, we will publish them on our website.
